RunClub HQ — Account & Data Deletion

RunClub HQ is a trading name of SymNex Consulting Ltd (registered in England and Wales under company number 10006091). This page explains how to request deletion of your account and associated data from the RunClub HQ platform, including our mobile app available on Google Play and the App Store.
How to request account deletion
You can request that your account and personal data are deleted by following these steps:
Step 1 — Raise a request with your running club
Your running club is the data controller for your membership data. To request deletion:
- Via the app or website — Log in to your club's RunClub HQ site, go to your Inbox, and create a new support ticket under the Data & Privacy Requests category. Describe that you would like your account and data deleted.
- Via your club's contact page — If you cannot log in, visit your club's contact page and submit a request. Include your full name and email address so they can locate your account.
- Speak to your club directly — You can also ask a club administrator in person or by email to remove your membership record from RunClub HQ.
Your club can process the deletion from their admin panel.
Step 2 — If you cannot reach your club
If you are unable to contact your club, or if your club is no longer active, please contact use using the form here. Please include:
- Your full name
- The email address associated with your account
- The name of the running club(s) you are a member of
Step 3 — Processing
We (or your club) will verify your identity and process the deletion within 30 days of receiving your request. You will receive confirmation once the deletion is complete.
What data is deleted
When your account is deleted, the following data is permanently removed:
- Your user account and login credentials
- Your phone number and postal address
- Your gender, date of birth and affiliation details
- Your profile photo
- Emergency contact details
- Medical and health information
- Communication preferences and notification settings
- Payment method details (e.g. Direct Debit mandate references)
- Device tokens and push notification registrations
- Login sessions and authentication tokens
What data may be retained
Certain data may be retained for a limited period after account deletion, as required by law or legitimate operational needs:

Retained transaction and invoice records contain only the minimum information required for compliance (e.g. amounts, dates, invoice numbers) and are not linked to an active account.
Event results and club records may be anonymised rather than deleted, so that historical club data remains intact without identifying you personally.
Third-party data
When you use RunClub HQ, some of your data may also be held by third-party services. Deleting your RunClub HQ account does not automatically delete data held by these providers:
- GoCardless — If you set up a Direct Debit, GoCardless holds your bank details separately. You can request deletion directly from GoCardless at gocardless.com/privacy.
- England Athletics — If your club registered you with England Athletics, that registration is managed separately by your club and England Athletics.
Important notes
- Account deletion is permanent and cannot be undone. If you rejoin a club using RunClub HQ in the future, you will need to create a new account.
- If you are the only administrator of a club, please ensure another administrator is assigned before requesting deletion, to avoid disruption to your club.
- Deletion of a primary member account will also remove any linked dependent/household member profiles managed under that account.
